What is Provident Fund (EPF) in India?
The Employees' Provident Fund (EPF) is a compulsory retirement-savings scheme run by the Employees' Provident Fund Organisation (EPFO) under the EPF & Miscellaneous Provisions Act, 1952. Both the employee and the employer contribute every month, and the balance earns interest at a rate notified yearly by the Central Board of Trustees.
Every business in India with 20 or more employees must register with EPFO and deduct PF from employee salaries. Smaller businesses can register voluntarily and use EPF as a benefit to attract better staff.
PF Calculation Formula – The Quick Version
Employee PF = 12% of (Basic + DA)
Employer PF = 12% of (Basic + DA), split as:
• 8.33% → Employees' Pension Scheme (EPS), capped at ₹1,250 if wage ≤ ₹15,000
• 3.67% → EPF account
Total PF contribution to EPF account = Employee 12% + Employer 3.67% + EPS 8.33%
The ₹15,000 Wage Ceiling – Important Rule
Under the current EPF rules, the statutory wage ceiling is ₹15,000 per month. If an employee's basic + DA is more than ₹15,000:
- The employer's EPS share stays capped at ₹1,250 (8.33% of ₹15,000).
- The excess goes to EPF, or
- The employer can choose to limit its total PF contribution to ₹1,800 (12% of ₹15,000), and the employee contributes on the higher actual basic.
Worked Example – PF Calculation for ₹25,000 Basic
Let's say Ramesh has a basic + DA of ₹25,000/month. His employer follows the statutory ceiling policy.
| Component | Calculation | Amount |
|---|---|---|
| Employee PF | 12% × 25,000 | ₹3,000 |
| Employer PF (total 12%) | 12% × 25,000 | ₹3,000 |
| → EPS (capped) | 8.33% × 15,000 | ₹1,250 |
| → EPF | Remainder | ₹1,750 |
| Total credited to EPF account | 3,000 + 1,750 | ₹4,750/month |
Additional Employer Charges
- EDLI (Employees' Deposit-Linked Insurance): 0.50% of wages, capped at ₹75/month (₹15,000 × 0.50%).
- EPF Administrative Charges: 0.50% of wages, minimum ₹500 (active members).
So the true employer cost is typically ~13% of basic, not just 12%.
EPF Interest Rate 2025–26
EPFO declared an interest rate of 8.25% per annum for FY 2023–24 and FY 2024–25. The FY 2025–26 rate is expected to be notified in a similar range. Interest is calculated on monthly running balance and credited to accounts annually.
How PF is Shown on a Salary Slip
Every Indian salary slip should clearly show:
- Employee PF under Deductions (₹3,000 in our example)
- Employer PF is usually not deducted from gross — it sits on the CTC side, not on the payslip deductions
- UAN (Universal Account Number) — 12-digit number every EPF member has
PF Calculation for Small Businesses (Under 20 Employees)
If you have fewer than 20 employees, PF registration is voluntary. Most small shops, restaurants and factories skip it. But offering PF to 5–10 trusted staff is a powerful retention tool — and the first ₹1.5 lakh PF contribution is tax-deductible under Section 80C for the employee.

PF Calculation – FAQ
Is PF calculated on gross or basic salary?
PF is calculated on basic + DA only, not on HRA, conveyance or special allowance.
What is the current PF interest rate?
EPFO last notified 8.25% p.a. (FY 2024–25). The rate is revised yearly based on EPFO's investment returns.
Is employer PF deducted from my salary?
No. Employer PF is the company's cost, shown in CTC but not in the monthly salary-slip deductions. Only the 12% employee PF reduces your take-home.
Can I withdraw PF before retirement?
Yes — fully after 2 months of unemployment, or partially for marriage, education, house purchase or medical emergency, subject to EPFO conditions.
What is EPS and how is it different from EPF?
EPS (Employees' Pension Scheme) gives you a monthly pension after age 58. EPF is a lump-sum retirement corpus. Both come out of the 24% total monthly contribution.
